Personal data processing policy
What data we collect on xolodok.pro when you call an air conditioner engineer, why, where we store it, who we pass it to and how to delete it.
This is an English translation for your convenience. The Russian version is the official one: Политика обработки персональных данных.
Who processes your data
The ХОЛОД’ОК service, [company details will be added before launch] (“we” below). Website for clients: xolodok.pro.
What data we collect
- Your phone number. Your email, if you sign in with email.
- Your name and profile photo, if you added one.
- Order details: address, entrance, apartment, floor, intercom, the point on the map, what is wrong with the air conditioner, visit time, your comment for the engineer and photos of the problem, if you provided them.
- What happened with the order: which engineer took it, when they set off and arrived, what was done, the amount and the warranty term.
- Your rating and review of the job, if you left them. Your messages to support.
- Where you are now, if you allowed the site to use your location: we use it to place the pin and show engineers nearby.
- Technical sign-in data: date and time, IP address, browser and device type.
We do not ask for your passport, date of birth or bank card details.
Why we process it
- So that you can sign in to the site and see your orders.
- To accept your order, find an engineer, show where they are and when they will arrive, and so that the engineer can call you.
- To answer your support requests and handle the warranty if the problem comes back.
- To protect sign-in and orders from strangers and robots.
We do not send you advertising based on your data and do not sell it to anyone.
Legal basis
Your consent, which you give with a separate checkbox before signing in with your number: consent text. Order details are also needed to carry out the order itself, that is, the contract with you.
Who else sees the data
- The engineer doing your order: your name, number, address and everything you wrote about the order. The engineer sees your number while the order is in progress and for one more day after the job.
- The service’s dispatchers and managers, in our order management system.
- The hosting provider whose servers run the site: [the name of the hosting provider in Russia will be added before launch].
- SMS.ru: sends the code by SMS or receives the call when you confirm your number. Only the number is sent there.
To find the address for a point on the map and show the weather, our server queries the open services OpenStreetMap Nominatim and Open-Meteo. Only the address or coordinates rounded to about ten metres (to about a kilometre for the weather) are sent there, without your number, name or IP address.
Where it is stored
On servers in Russia.
How long we keep it
- Your profile on the site (number, email, name, photo, order list): until you delete it.
- Your sign-in: 30 days from the last sign-in, after that you need to sign in again. We delete sign-in attempts with a code after 2 days.
- Orders in the order management system: [the retention period for orders will be added before launch]. They are needed for the warranty and for reporting, so they remain after you delete your profile.
- We do not store the location we use to find engineers nearby. Only the order point remains, if you placed an order.
Your rights
- To find out what data about you we have.
- To correct it if it is inaccurate: you can change your name and photo in your profile.
- To withdraw your consent and ask us to delete your data. We delete it within 30 days, unless the law requires us to keep it longer.
- To complain to Roskomnadzor, the Russian data protection authority, if you believe we are breaking the law.
How to delete your data and withdraw consent
The quickest way is in your profile on the site: “Delete account”. Your number, email, name, photo and the order list on the site will be deleted, and sign-in will be closed.
You can also write to us or call us: [email and phone number will be added before launch]. Just tell us the number you signed in with.
Cookies
After you sign in, the site sets one session cookie so that it does not ask for your number every time you visit. It is shared by xolodok.pro and pro.xolodok.pro, lasts 30 days and cannot be read by scripts on the page. There are no visitor counters or advertising cookies on the site.
